Position: Clinic Administrator
Reports to: SBCC Board of Directors
Direct Reports: Director of Billing, Bookkeeper, Support Staff Coordinator, Credentialing/Compliance Specialist, Intake Coordinator
Date: January 7, 2019
Position: Position is fulltime (1.0 FTE) with benefits.
PURPOSE OF POSITION: As the COO and CFO, responsible for oversight support staff for all SBCC locations as well as working as a collaborative member of the support staff team for SBCC consistent with the mission of the organization.
Assisting patients with fitting, purchasing, and utilizing glasses
Assisting patients with contact lens training and ordering
Finance. Oversight of all finances for SBCC to include:
Oversee day to day financials, cash position, income and expenses to ensure financial profitability for the organization.
Develop annual budgets and ongoing financial forecasting against the budgets.
Ensure appropriate Internal Financial Controls for the organization for cash receipts and cash disbursements.
Provide necessary documentation for taxes and audits.
Coordinate all aspects of insurance for SBCC including liability and work comp.
Provide Comp Model for payroll.
Serve as the primary liaison to the third party accountant
Supervise Bookkeeper and Director of Billing to ensure completion of essential tasks.
Oversee all benefits to provide competitive packages to employees. This includes benefits related to medical, disability, retirement and paid time off.
Responsible for the development, issuance and compliance of an Employee Manual.
Facilitate all hiring and firing throughout the organization. Oversee on-boarding for new staff members. This includes a process for on-going training, support and performance evaluations for team members.
Oversee all personnel leaves.
Work with the Intake Coordinator to understand the staffing levels needed to meet client demand on the clinical team. Manage recruitment of members to the clinical team.
Day to Day Operations. Oversee the day to day operations for the organization.
Supervise the Support Staff Coordinator to ensure the completion of essential tasks and empowerment of the support staff team.
Supervise the Intake Coordinator to ensure that the intake process meets the needs of SBCC and the clients.
Supervise the Internal Auditor to ensure documentation, credentialing and third party payer relationships are effectively completed.
Oversee the locations, providing ongoing direction and support.
Facilitate staff meetings, staff development and training for the admin team.
Oversee Technology vendor/staff member.
Ensure compliance processes and procedures are in place for SBCC. This includes OSHA, HIPPA and others.
Oversee Marketing and outreach efforts for SBCC.
Member of the leadership team with the Clinical Director/Owner to move forward and achieve the stated mission and vision for SBCC.
Work on a long term vision for staffing and recruiting
Create a person centered atmosphere for the team.
Key Qualifications. As a key leader at SBCC, serve as a highly effective communicator with a high ability to problem solve and bring organization to SBCC.
General Business Support. Assist leadership as necessary to move forward the vision of the clinic.
